What a Company Brain Actually Costs in 2026

What a company brain costs in 2026: free to build yourself, Atlassian seats plus credits, enterprise search, or a $3,000 to $10,000 custom build.

Has this ever happened to you? You ask three vendors what something costs, and you get a demo and a PDF with the word "custom" where the number should be.

I can't stand that. So here's every route I know for giving a small business a company brain in 2026, with sourced numbers where they exist and labeled estimates where they don't.

Quick definition so we're on the same page: a company brain is one place that holds what your business knows, organized so your team and your AI tools can both ask it questions and get sourced answers. If you want the long version, start here.

Short answer: building one yourself is free, plus your time. Atlassian's route for a 10 person business new to Atlassian runs about $58 to $288 a month in seats, by my estimate from their list prices. Enterprise search like Glean is quote only. A custom Company Brain Build from Stout Intel is $3,000 to $10,000, one time.

Route 1: Build it yourself. Cost: free, plus your Saturdays.

This is the route nobody selling software wants you to hear about. You can build a working company brain out of a folder of plain text files.

The layout is simple. A raw folder for source material you never edit. A wiki folder of clean pages, one per client, supplier, product or process. An index that lists every page. A log with a dated line for every change. And a rulebook file that tells your AI tool how to behave. Point a capable AI agent at the folder and it does the tedious part: summarizing, filing, linking.

What it costs: no new software bill, beyond the AI tool you probably already pay for.

What it really costs: your time. Setting up the structure takes an afternoon. Feeding it takes a weekly habit, and the habit is the part people drop.

Who it fits: owners who like tinkering, teams of one to five, anyone who wants to test the idea before spending a dollar.

Where it breaks: connecting live tools. Pulling your CRM, your inbox and your accounting system in automatically is where most DIY brains stall, because that's real setup work.

The free Company Brain Blueprint, at the bottom of this post and of the original company brain write-up, gives you the folder structure, the starter rulebook and the weekly rhythm. Free means free.

Route 2: Atlassian. Cost: seats, plus credits.

Atlassian launched a bigger Teamwork Graph and a generally available remote MCP server at Team '26 Europe in October 2026 (Atlassian's announcement). It's serious tech, and if you already live in Jira and Confluence, it's probably your cheapest path. I went through the whole release in what Atlassian's company brain means if you're not running Jira.

What matters for cost: Rovo and Teamwork Graph come with paid Atlassian Cloud plans of Jira, Confluence, Jira Service Management or a Collection, per Atlassian's Rovo licensing page. There's no separate purchase, and free plans don't include Rovo credits.

Here's my estimate for a business with no Atlassian today, built from Atlassian's monthly list prices fetched on 25 October 2026 (Teamwork Collection pricing, Confluence pricing):

Setup10 people50 people
Confluence Standard, seats onlyabout $58/moabout $289/mo
Teamwork Collection Standard or Premium, seats onlyabout $140 to $288/moabout $701 to $1,438/mo
Teamwork Collection with real daily use, including overageabout $160 to $325/moabout $1,100 to $1,600/mo

The "real daily use" row assumes each person runs about five basic Rovo chats a workday. Atlassian charges 10 credits for a basic interaction and $0.01 per credit over your monthly pool, with overage billing starting 3 December 2026, per its usage limits doc. Atlassian also raised Standard and Premium prices roughly 7 to 10% on 13 October 2026, per Adaptavist. Calculators shift with team size and annual billing, so get a real quote.

The cost that isn't on the page: if you don't already run Atlassian, the brain reads what's in Atlassian. So you're also paying, in time, to move your work into Jira and Confluence. And Atlassian's connector setup docs don't list HubSpot, QuickBooks or Shopify, so those need extra build to show up.

Who it fits: teams already on Jira and Confluence. Full stop.

Route 3: Enterprise search. Cost: ask them.

There's a whole category of tools that search across all your company's apps and answer questions. The best known is Glean, and it's big. Glean passed $300 million in annual recurring revenue in May 2026, per The Letter Two. Forbes ran a piece in August 2026 on Microsoft and others racing to build an "enterprise brain". The big money is clearly in.

I'm not going to quote you a Glean price. I couldn't find one I'd put my name on, and I'm not making one up for a blog post. If enterprise search interests you, ask for a quote at your exact headcount.

One data point worth knowing: Ramp's card spend data from June 2026 shows that under 1% of companies with a "Search and Research AI" vendor use Glean (Ramp). Read that however you want. I read it as: most small businesses haven't bought anything in this category yet.

Who it fits: larger companies with a lot of apps, a lot of people, and an IT team to run it.

Route 4: A custom build. Cost: $3,000 to $10,000, one time.

This is what I sell, so weigh my words accordingly. I'll give you the numbers straight and you can decide.

The Company Brain Build turns your notes, docs and tools into one brain of plain files you own. It connects to whatever tools you run, including the ones with no big-vendor connector, and plugs into any AI model through an MCP connection. Claude today, something else next year, same brain.

  • The build: $3,000 to $10,000, depending on how much you've got and how many tools we hook in. You hear the number on the first call, before you spend anything.
  • Strategy only: $100 an hour, if you want a plan and want to build it yourself.
  • Hosting and care: priced per team. You don't need it, because you own the files. It's there if you'd rather not run it yourself.

Who it fits: businesses that don't run on Atlassian, that have money or customers sitting in tools nobody else connects to, and that want to keep every file if they leave.

The boundary: a custom brain puts upkeep on whoever built it, or on you. A big platform has compliance teams, audit logs and uptime guarantees that a one person studio doesn't. Ask anyone you hire, me included, who looks after it after launch.

The cost nobody puts in the table

Every route above has one cost in common: the knowledge has to get written down.

No tool on earth can find a decision that only exists in your head. I've watched people spend real money on software and then wonder why it can't answer anything, and the answer is always the same. Nobody fed it. That's the most expensive mistake in this whole category, and it costs the same whether you paid zero or ten grand.

Here's a silly test. Ask yourself where the answer to "what did we charge that customer last time" lives right now. If the honest answer is "Steve," your company brain is Steve, and Steve takes vacations.

Whatever route you pick, the brain has to be cheap to feed and cheap to switch models on. That's why I lean hard on plain files. I explained why in keeping your context when the AI model changes.

What to do this week

  1. Write down every tool your team opens in a normal week.
  2. Circle the ones that hold money or customers.
  3. If you already run Jira and Confluence, try Atlassian first.
  4. If not, grab the free blueprint below and build a starter brain this weekend.
  5. If you'd rather skip the weekend, call me.

If you're in Utah, here's what a brain build looks like in Salt Lake City, and yes, we can meet in person.

I spent years running a book of business at a promotional products distributorship and built the automation I write about on that desk first. Stout Intel is where those systems become available to other distributors and SMBs, and it’s my full time work.
